Appointment Setter – Customer Support Full Time NEW

Job Summary:

The Appointment Setter is responsible for assisting in the full lifecycle activities relating to the candidates and ensuring they are quickly scheduled for their testing events within a reasonable timeline. Also ensure testing availability is in accordance with Credentia and the applicable state standards.

Essential Duties and Responsibilities: The essential duties of the position include the following. Other duties may be assigned.

1. Contact Candidates: Initiate communication with candidates through cold calling, emails, or other outreach methods to schedule the candidates for their testing event.
2. Maintain CRM Systems: Use Credentia’s proprietary software to log all candidate interactions and manage appointment schedules effectively.
3. Follow-Up Communication: Conduct follow-ups where needed to confirm appointments, gather feedback, and ensure successful reduction of backlog.
4. Provide Information: Offer relevant information about the candidate’s options, addressing any questions or concerns they may have.
5. Coordinate with Nurse Aide Evaluators (NAEs) – Communicate effectively with NAEs regarding schedules, and any testing concerns to ensure smooth exam administration.
6. Coordinate with Testing Centers – Collaborate with testing site staff to confirm schedules, resolve issues, and ensure candidates are fully prepared for their exams.
7. Escalate Issues When Necessary – Identify and promptly report irregularities, technical challenges, or candidate concerns to the appropriate supervisor.
8. Other Duties as Assigned – Support additional tasks as required to ensure effective communication and smooth testing operations.

1. The Appointment Setter must possess cooperative and collaborative people skills, including the ability to assist and maintain motivation and engagement within the state’s candidates.
2. Associate’s degree preferred; High School Diploma or GED required.
3. Two years’ experience in a customer service setting, administrative support setting, or other equivalent business setting.
4. One year experience in a call center or contact center environment is a must.
5. Ability to adapt well in the face of workplace stressors such as customer service complaints, maintaining the security of data, competing priorities of high significance to the successful function of the department
6. Ability to read and comprehend instructions, correspondence, and memos.
7. Ability to write moderately complex correspondence.
8. Ability to effectively converse and present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
9. Ability to solve practical problems and deal with a variety of variables in multiple situations
10. Ability to interpret feedback from others, uncover the source of problems, and provide feedback with effective solutions.
11. Maintain attention to detail to ensure proper documentation of facts.
12. Ability to use a variety of computer software programs such as Microsoft Office products, web browsers, and CRM tools.
